We are seeking a Team Assistant to support the Production Programme Management team. The Programme Management team works with Production teams to support their strategy & priorities, and support industry engagement and outreach, running multiple projects simultaneously. A successful candidate will be passionate, self-motivated, quick-thinking, flexible and thorough. They will be adept at juggling multiple and diverse responsibilities with a strong emphasis on organisation and an unwavering attention to detail at all times. This is a fast paced environment that requires someone who is proactive and a positive thinker, and is able to exercise good judgment and communicate clearly, as well as able to deal with multiple stakeholders across time zones & cultures.
Duties and Responsibilities (But not limited to:)
- Provide executive-level support including complex diary management, travel coordination (domestic and international), and expense processing.
- Plan and execute internal and external meetings, offsites, and team events, ensuring all logistics and materials are handled with precision.
- Schedule and prepare team meetings, manage agendas, capture minutes and action items, and help ensure follow-through on key decisions.
- Support projects through creating presentations, templates, and briefing materials as and when needed.
- Track project milestones and deliverables, keeping the team informed of progress and critical deadlines.
- Assist with education & outreach initiatives, providing administrative and operational support as needed.
- Champion the use of internal systems and tools, helping identify opportunities for increased efficiency, automation, and smarter workflows.
- Collaborate closely with other assistants and stakeholders, surfacing opportunities for alignment and knowledge sharing (e.g. with Production Solutions).
- Maintain flexibility to evolve with the team as this role may expand to support additional Production Executives or projects over time.
Requirements:
- Experience as an assistant in a corporate or production environment.
- Exceptional written and verbal communication skills in English (additional languages a plus)
- A genuine passion for entertainment
- Proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets, Slides); and comfortable with technology and learning new tools.
- Able to collaborate across time zones, cultures, and functions.
- A team player who’s creative, resourceful, and ready to go beyond core tasks to help the group succeed.
- Sound judgement and discretion when handling confidential information.
- Ability to prioritise effectively while remaining adaptable amid frequent change.
- Well organised and driven by finding efficiencies.

The position is located in London, UK. This will a 12-month Fixed Term Contract.
