Hartbeat is looking for a sharp, resourceful, and highly organized Executive Assistant to support both our VP of Unscripted and VP of Film. In this role, you won’t just be managing calendars and scheduling meetings (although you’ll do that really well) – you’ll also be plugged directly into the ecosystem of two very different but equally dynamic parts of our studio team. You’ll have a front-row seat to how film and unscripted projects are built from the ground up. This is a rare opportunity for a proactive go-getter who wants hands-on exposure across scripted and unscripted production and is hungry to grow in the world of entertainment.
Responsibilities:
- Provide administrative support to both the VP of Unscripted and VP of Film, including heavy calendar management, travel coordination, and expense reports.
- Support development and production workflows for both teams.
- Assist with talent, agency, and partner communications, including rolling calls, and occasionally acting as point of contact on behalf of the VPs.
- Help track industry trends, project submissions, and key deadlines across both verticals.
- Be a glue – anticipate needs, solve problems creatively, and keep both VPs’ desks running smoothly.
- Occasionally support studio-wide initiatives, events, and team meetings.
Experience & Skills:
- You are a pro at multitasking and managing competing priorities with grace and good judgment.
- You are able to handle projects, tasks, and each VP’s desk with an utmost professional approach, and are able to handle what’s given to you with the highest discretion (meaning that you keep each VP’s tasks and projects specific to them, and have the tact to understand what can/can’t be shared at what time)
- You are sharp, scrappy, and solutions-oriented – you don’t wait to be told what to do next.
- You are passionate about film, TV, and entertainment, and are plugged into industry trends because you love it and have a genuine curiosity for the development process as well as the industry at large.
- You communicate extremely clearly and can interface comfortably with all levels of internal and external stakeholders.
- You have worked at an agency or a studio previously, ideally supporting multiple executives within entertainment.
The salary range is $28.85 to $31.25 per hour plus bonus.
