Provides overall general assistance to the Production Coordinator, Production Supervisor and crew within a specific department(s). Be in service to the production (i.e. seek ways to proactively support the crew, Production Coordinator and Production Supervisor, build the trust of the artists, know when to elevate issues, understand priorities and how to balance multiple requests including those which may come from outside of your department).

Provide administrative support including managing heavy phones, calendar, scheduling meetings, and coordinating travel arrangements. Track and review contracts, client calendars, and payments through a series of detailed grids. Create client submission lists, handle client bookings, and manage all client correspondence.

Track clients, breaking news stories, industry movement, and trends. Assist in new client discovery, pursuit, and signing. Prepare pitch materials for clients and assist in sending submissions to networks.

Heavy phone management, roll calls, provide notes for calls as requested. Research song information to complete clearance forms for licensing department. Coordinate and distribute scripts, subsequent drafts/pages to department.

General administrative duties: maintaining files, copying, scanning. Compile and distribute daily paperwork as directed by Production Coordinator. Prepare and submit expenses/receipts as directed by Production Coordinator. Set up and coordinate various meals, craft service, events, greet guests.

Responsible for a variety of daily administrative tasks, including scheduling meetings, booking rooms, preparing and shipping materials, taking and distributing notes, ordering office supplies, and preparing for presentations, special events, and meetings.
