Proactively manages smooth operations of the executive’s calendar and office, being mindful of deadlines and priorities. Organizes heavy calendar scheduling, facilitates heavy email and phone correspondence; submits expense reports, purchasing requests for supplied; books travel arrangements.
Handle daily administrative needs such as 5-minute meeting warnings, file and script uploads, submitting expenses, and OneDrive organization. Maintain the executive office: stocking supplies, coordinating with admins for kitchen/supply orders, and ensuring overall readiness every day.
Track submissions (scripts, books, writing samples); compile notes and feedback and disseminate this information with the appropriate internal departments. Develop and maintain a thorough familiarity with all projects occurring within the company.
Support different production phases such as Development, Production, and Post Production. Help organize and attend both internal studio meetings and those related to productions. Manage and monitor Below the Line contracts.
Manage complex calendars, schedule meetings, and coordinate domestic and international travel arrangements. Prepare and process expense reports, vendor contracts, and other administrative documentation.
Reviews all written submissions (screenplays, novels, etc) submitted by the creative executives utilizing the department database; verifying if prior coverage exists and/or managing and entering in new coverage submissions in the department database.
Update grids with staff lists and production calendars. Create clip selections from dailies for internal viewing. Track incoming material and staffing submissions. Watch cuts and read incoming scripts to write loglines and share notes.
Overall administrative support for the two Vice Presidents. Scheduling meetings across multiple time zones, departments, and brands while respecting the need for flexibility and adaptability in an ever-changing environment
Act as a thought partner for Producers, and Associate/Line Producers in navigating production hurdles; workshop issues ranging from inventory backlogs and catch-up plans to technical bottlenecks and communication breakdowns.
