Little Dot Studios is a multi-platform production company, social media agency, and digital media network who are currently on a quest to find a Production Coordinator to join our Creative Production team – Is this your next opportunity?
The Production Coordinator will support production-related planning, logistics, and budgets, working closely with the Senior Production Manager, internal teams, and freelance crew to ensure projects run smoothly from development through delivery. The successful candidate will be multi-skilled with a creative mind and experience across various areas of production, assisting with logistical tasks, coordinating resources, and helping to ensure that deadlines are met and campaigns are executed efficiently.
How You Will Spend Your Time:
- Serve as main point of contact for production clients, creating budgets and uploading all final videos to the client portal
- Create and process start paperwork for freelancers
- Process all freelancer timecards & payroll
- Contact talent and process agreements and payments, working closely with our legal team
- Update and maintain the client project grid, tracking costs using cost reports
- Liaise with all levels of production to provide daily simultaneous support for multiple projects. Respond to and resolve problems or questions relating to production ensuring the most cost-effective solutions.
- Provide production support by sourcing crew members, securing equipment, catering, locations, and other on-set production requirements.
- Draft and review all production documents for accuracy and seek corrections when necessary. (i.e. call sheets, production reports, deal memos, etc.)
- Ensure the same vendors are being used across all productions
- Facilitate and maintain clear communication between production and other departments, vendors, and crew members
- Understand when to elevate issues that require senior oversight or have broader company implications
- Hybrid remote working environment with 1 day a week in the office and days on production shoots as needed
What You Need to Succeed:
Skills matter, experience is useful, attitude is everything.
- Bachelor’s Degree in Communications, Marketing, Media Production, Film or Television Production, Business Administration, Digital Media, or a related field
- Demonstrated knowledge of the production process and on-set experience
- Prior experience with and working understanding of documentary, scripted, and branded formats
- Experience as a production assistant (PA) or in an administrative role within the industry
- Strong knowledge and experience with production onboarding and crew management software (EP Smart Start, Wrapbook, etc.)
- Strong knowledge and experience with production budgeting software (Hot Budget, Movie Magic, etc.)
- Highly proficient in Adobe Suite (Premiere, etc.), Google Suite, and Excel
- Tech savvy
- Excellent attention to detail and strong organization skills
- Excellent communicator and highly collaborative
- Ability to multitask and support multiple projects at once, maintaining flexibility and adaptability
- Ability to remain calm under pressure, maintaining a positive and professional attitude at all times
- Ability to work well with others and communicate effectively with all stakeholders
- Strong existing relationships with vendors
Candidates must have unrestricted work authorization to work in the United States.
The salary range is $45,000 to $53,000/year.
