This role provides comprehensive administrative and organizational support to the President of Production, ensuring the smooth operation of the office and alignment across the broader team. This role manages complex scheduling and travel, oversees project tracking systems, and facilitates communication with senior leaders, talent, and external partners. Acting as a central point of coordination, the Executive Assistant ensures priorities are managed effectively, confidential information is handled with discretion, and the entire team is supported in driving key projects forward.
Your Role Responsibilities:
- Provides high-level administrative and organizational support to the President, ensuring seamless coordination across the Creative Development group. Manages the delegation of responsibilities among executives and assistants, including oversight of reading assignments, coordination of VIP recognition, and maintenance of internal project tracking tools, while serving as a key liaison with Senior Leadership offices.
- Maintain organizational systems for tracking project materials, incoming submissions, and other high-priority requests to ensure timely response and accurate record keeping.
- Manage an extremely active calendar with frequent shifting priorities; schedule meetings, screenings, and conference calls, coordinating across multiple time zones and with senior internal and external stakeholders.
- Handle confidential information/materials with discretion while liaising with external partners (representatives, producers, talent) and internal studio departments including Story, Business Affairs, Production, Post, and Marketing/Distribution.
- Arrange complex domestic and international travel, hotel accommodations, and itineraries for the President and filmmaking partners.
- Draft, edit, and prepare written communications, presentations, and research materials as needed on behalf of the President.
- Serve as the first point of contact for talent, executives, and other high-level visitors.
- Provide general office management support, ensuring smooth operations and effective communication flow.
- Perform other related duties and projects as assigned in support of the WB leadership team.
Qualifications & Experience:
- Prior executive assistant experience at a senior executive level required.
- Previous experience in the entertainment industry working with talent, filmmakers, and agents required.
- Previous experience in development or production at a studio or production company strongly preferred.
- Proficiency in Word, Excel, Outlook required; familiarity with Adobe Acrobat, PowerPoint and/or Keynote preferred.
- Strong interest in scripts and deep general film knowledge required.
- Familiarity with agents/agencies, producers, and the broader film community required.
- Working knowledge of feature writers and directors strongly desired.
- Strong written and verbal communication skills; excellent attention to detail.
- Knowledge of basic math, spelling, grammar, punctuation, and English usage.
