Maintain and distribute an updated schedule to Graphics, Lighting, and Stage Managers for the current and upcoming week of production. Keep an updated hard copy posted for reference in control room.

Coordinate meetings, maintain database of all casting and production related materials. Interface with all levels of NBCU as well assist in communication with talent agencies, management companies, casting directors and the creative community at large on a daily basis.
Ensure weekly, timely receipt of key production documents including schedules, calendars, at-a-glance grids, etc. and distribute to appropriate teams as needed. Maintain department and division databases, assignment grids, and shooting calendars and update regularly.
Interface with creative executives, agents, producers, and talent on a regular basis and therefore professionalism and great customer service is needed. Tracking internal docs (i.e. status of pitches, what is being read by the team, what has been passed on, what the team is acquiring).
General administrative duties: maintaining files, copying, scanning. Compile and distribute daily paperwork as directed by Production Coordinator. Prepare and submit expenses/receipts as directed by Production Coordinator. Set up and coordinate various meals, craft service, events, greet guests.
Create guest itineraries, coordinate travel, arrival, and parking details, and answer any questions from time of booking until post-show. Greet guests on show days, act as point of contact for any questions, and ensure they get to and from wardrobe, stage, etc.
